Trusted help organizing the documents that matter.
Whether you have stacks or boxes waiting to be sorted or want a filing system before paperwork builds up, Document Navigators creates practical physical and digital filing systems for individuals and families.
We can sort, label, file, scan, name, and index your documents so you can find what you need and maintain the system going forward.
$37 assessment applied to an approved project | Written fixed-price quote | Nothing discarded without your permission

You may need a new system, a paperwork reset, or both.
You do not need to have a large backlog to use this service. We can build an empty filing system for the records you expect to receive, organize documents you already have, or create a system that matches your physical files to your digital folders.
Every project begins with your goals. You decide what is kept, how broad the categories should be, and whether documents are organized physically, digitally, or both.
Service options
New Filing-System Setup
Create a binder, file box, labeled-folder system, Google Drive folder structure, or a combination designed around the records you use. This option is available even when you have no paperwork backlog.
Paperwork Reset
Sort existing stacks, folders, bags, or boxes into customer-approved categories. Label and file the documents, separate unclear items, and provide a simple guide to the finished system.
Document Digitizing
Scan selected paper documents into readable, searchable PDF files. Organize them in a customer-owned Google Drive folder or provide another approved digital delivery method.
File Naming and Digital Organization
Apply consistent filenames and place documents into clearly labeled digital folders so files can be found without opening each one.
Document Indexing
Create a spreadsheet showing what each document is and where it is stored. Depending on the approved scope, the index may include the document title or type, issuer, document date, physical location, digital filename or link, and customer-provided notes.
We do not place complete Social Security numbers, account numbers, medical identification numbers, or similar sensitive numbers in an index.
Physical and Digital System
Create matching categories for important original documents and digital reference copies. The physical labels, digital folder names, and system guide work together.
Choose a system that fits how you use your records.
Physical Filing System
- Binder, file box, or labeled folders
- Customer-approved categories
- Printed system guide
- Separate section for items that need a customer decision
Digital Filing System
- Searchable PDF files
- Consistent filenames
- Customer-owned Google Drive folders
- Digital folder guide or optional detailed index
Combined Filing System
- Important originals organized physically
- Selected digital reference copies
- Matching physical and digital categories
- One guide showing where records are stored
Begin with a $37 Document Organization Assessment.
Every household and document collection is different. We begin with an assessment to understand what you have, how you need to use it, and what type of physical or digital system will work for you.
Your assessment includes:
- Review of your organization goals
- Review of the volume and current condition of your paperwork, when applicable
- Recommendation for a binder, file box, Google Drive, or combined system
- Identification of sorting, scanning, file-naming, indexing, supply, and pickup needs
- Written project scope
- Fixed-price quote
- Estimated completion date
If you approve the quoted project within 14 days, the full $37 assessment fee is applied to your project price.
No open-ended hourly billing. You receive a written scope and fixed price before project work begins. We do not perform or charge for additional work without your written approval.
Your quote reflects the work your project requires.
The project quote is based on the document volume, amount of sorting, number of people or subjects represented, number of filing categories, physical or digital setup, scanning volume, level of file naming or indexing, supplies, and pickup or return needs.
A customer who needs an empty filing system and a customer who brings a mixed box of documents need different amounts of work. The assessment allows Document Navigators to price the actual result instead of assigning the same package to every household.
